I am the controller of the personal data processed in the course of my photography business for the purposes described in this policy.

This policy applies to visitors to my website, people who contact me, my clients and individuals photographed during my assignments. It covers information collected through the website, by email, by telephone, during our exchanges or through the tools used to provide my services.

2 — Data collected

Depending on our exchanges and the services requested, I may process:

your first name, last name and contact details: email address, telephone number and postal address, country of residence;
information needed to prepare your wedding or photography session: date, locations, schedule and photography preferences;
questionnaire responses and our correspondence;
information required for quotations, contracts, invoices and orders;
photographs in which individuals can be identified;
certain technical and browsing data: IP address, browser and device characteristics, technical logs and, depending on the tools enabled and your choices, website usage data.

Data is mainly collected directly from you. Some information about the event and the people to be photographed may also be supplied by the clients or their wedding planner.

Required information is identified when it is collected. Without it, I may be unable to respond to your enquiry or provide the service. Other information is optional.

3 — Purposes and legal grounds

Your data is used for the following purposes:

Responding to quotation requests, arranging discovery calls and preparing bookings

These activities are based on taking steps at your request before entering into a contract.

Preparing, providing and delivering the service

Planning the photographic coverage, taking photographs, selecting and editing images, delivering the gallery and managing ordered products are based on the performance of my contract with you.

For individuals who are photographed but are not parties to the contract, including guests, creating and delivering the photographic reportage is based on my legitimate interests and those of the clients in documenting the event, taking into account the reasonable expectations, privacy and rights of the individuals concerned.

Issuing invoices and retaining mandatory records

These activities are based on my legal obligations, particularly accounting and tax requirements.

Responding to general enquiries and maintaining the security of my business

Handling enquiries unrelated to a booking, preventing technical incidents and protecting systems and data are based on my legitimate interests in operating my business effectively and securely.

Establishing, exercising or defending legal claims

Keeping information necessary to manage a potential dispute is based on my legitimate interests in protecting my legal rights.

Publishing identifiable photographs or testimonials for publicity

These uses are based on your consent, under the conditions set out in a separate authorisation.

Using cookies that require consent

These activities are based on your consent, collected through the cookie management mechanism.

4 — Photographs, testimonials and ads

Creating and delivering your photographic reportage is separate from using images for advertising.

Publishing identifiable photographs or testimonials on my website, blog, social media or promotional materials is subject to a separate authorisation specifying the intended uses and their duration.

For minors, the necessary authorisations are obtained from their legal representatives.

Questionnaire responses are not published in a form that identifies you without your agreement. They may be used after effective anonymisation.

Where processing relies on consent, you may withdraw it at any time by contacting me.

Withdrawal does not affect the lawfulness of processing carried out before consent was withdrawn.

5 — Data recipients and technical service providers

Access to personal data is limited to the people and providers who need it for the purposes described in this policy.

Depending on the services used, recipients include:

Wix: website hosting and operation;
Pixieset: gallery hosting, access to photographs and order management;
Fotostudio: client management, quotations, contracts, invoices and questionnaires;
the relevant banks and payment providers;
printing and delivery providers needed to fulfil your orders.

Providers process personal data according to their respective roles and applicable contractual and regulatory obligations. Some, particularly banks, may act as independent controllers for their own obligations.

Photographs uploaded to a gallery may be viewed by people who have been granted access, according to the selected sharing settings. People with permission to download photographs may also retain downloaded copies.

Data may be disclosed to competent authorities where required by law.

6 — International transfers

Depending on the provider and country concerned, these transfers are covered by a European Commission adequacy decision or appropriate safeguards, including the European Commission’s Standard Contractual Clauses, with supplementary measures where necessary.

7 — Retention periods

Data is retained according to its nature and purpose:

Enquiries that do not lead to a booking: for a maximum of one year from collection or the most recent contact initiated by the prospective client, with earlier deletion where retention is no longer useful.
Active client files: during preparation, delivery and follow-up of the service. Documents needed as evidence of the contractual relationship are then archived with restricted access for the applicable statutory periods.
Contracts and business correspondence subject to the general retention period: five years from the end of the contractual relationship.
Contracts concluded electronically with a consumer for €120 or more: from the conclusion of the contract until the service is provided, and for ten years thereafter.
Invoices and accounting records: ten years from the end of the relevant financial year.
Online galleries: one year from delivery.
Photographic files and backups: three years from delivery of the gallery.
Photographs and testimonials used for publicity: for the period specified in the relevant authorisation, subject to withdrawal of consent.
Cookies and associated data: according to the periods specified in the information available by contacting contact[@]alinelargenton.com.

Certain records may be retained longer where necessary to manage a dispute or where required by law.

At the end of the applicable period, data is deleted or effectively anonymised.

8 — Data security

I implement appropriate technical and organisational measures to protect personal data against loss, alteration, unauthorised access or disclosure.

Access to information is limited according to business needs.

However, no method of online transmission or electronic storage can guarantee absolute security.

9 — Cookies and similar technologies

The website uses cookies or similar technologies necessary for its operation and security.

Depending on the features and tools enabled, other technologies may be used to remember preferences, measure website traffic or provide external content and functions.
